Terms of Service
1. Introduction
Welcome to PixelPerfect Wedding! By using our services, you agree to the following terms and conditions. Please read them carefully before proceeding with your booking.
2. Services Provided
- PixelPerfect Wedding provides professional video editing services using footage captured by clients or their designated videographers ("Pixels").
- PixelPerfect Wedding does not offer traditional videography or on-site filming services. All footage is captured by guests (“Pixels”) using personal or rented devices. Final video quality will reflect the footage submitted.
3. Booking & Payments
- Full payment must be received before editing work begins.
- Failure to complete payment may result in cancellation of services without refund.
4. Cancellations & Refunds
- The initial payment includes a $250 non-refundable deposit under any circumstances.
- If you need to reschedule your wedding date, we will do our best to accommodate based on availability.
- No refunds will be issued after editing work has begun.
5. Client Responsibilities
- PixelPerfect Wedding does not guarantee specific visual results. While we provide guidance and resources, the quality of each final film will reflect the filming environment, participation, and skill level of the Pixels involved.
- Each assigned Pixel is responsible for filming and uploading their own footage only. Uploading footage captured by additional, unassigned guests is not permitted and may result in overage charges or exclusion of that footage from the final edit.
- PixelPerfect Wedding reserves the right to limit the number of contributors based on your selected package tier. This policy helps preserve editing quality, maintain a streamlined workflow, and ensure the best final product for your film.
- Footage must be submitted within two weeks after the wedding date.
- Delays in footage submission may result in extended editing timelines.
- PixelKit Usage & Care - Clients and Pixels who rent PixelKits agree to use all equipment with care and follow all usage guidelines. PixelPerfect Wedding is not responsible for footage loss due to battery failure, improper operation, or equipment misuse. Clients are responsible for returning kits in original condition by the agreed date; late returns or damage may result in additional charges.
- Client Communication - Clients must respond to PixelPerfect Wedding communications (including footage follow-ups, approvals, or revision confirmations) within 7 business days. Delays in communication may extend editing timelines or result in delivery delays. PixelPerfect is not liable for missed deadlines due to lack of response.
6. Editing & Delivery
- Standard editing turnaround time is 1 week from the date we receive all required footage and full payment.
- Edits include color correction, transitions, and music selection, but do not include extensive retouching or visual effects.
- One round of minor revisions is included; additional revisions may not be possible or will incur extra fees. Minor revisions refer to small timing, text, or music adjustments. They do not include footage swaps, complete restructuring, or new footage submissions after the initial delivery.
- PixelPerfect will retain final edits and submitted footage for up to 6 months after delivery. After this period, files may be permanently deleted or moved to offline storage at PixelPerfect’s discretion. Clients are encouraged to download and back up all deliverables promptly upon receipt. PixelPerfect reserves the right to omit or edit around footage that is low quality, improperly framed, vertically oriented, or otherwise unusable for the final narrative.
- All final videos are delivered digitally via download link. Clients are responsible for downloading and storing their final film. PixelPerfect is not responsible for loss of deliverables due to client failure to download before the 6-month storage window expires.
- Creative Direction & Editorial Judgment - PixelPerfect Wedding retains full editorial control over the final product. While client input is welcome, editing decisions (including music choice, clip selection, and pacing) are made at our professional discretion to ensure a cohesive final film. Client-submitted preferences are considered but not guaranteed.
7. Music & Licensing
- PixelPerfect Wedding provides legally licensed music through Soundstripe.
- Clients may not request specific songs for their wedding film.
8. Intellectual Property
- PixelPerfect Wedding retains the right to use edited videos for marketing and portfolio purposes unless the client requests otherwise in writing.
- Clients are granted a personal, non-commercial license to share and distribute their wedding film.
9. Liability & Disclaimers
- PixelPerfect Wedding is not responsible for poor-quality footage provided by the client or Pixels.
- We are not liable for lost, corrupted, or unusable footage due to third-party file transfers.
- In the unlikely event we cannot complete your edit, liability is limited to a refund of any payments made beyond the deposit.
- Pixel Perfect Wedding is not responsible for poor-quality footage provided by the client or Pixels.
- Clients are responsible for ensuring all Pixels receive and review PixelPerfect’s filming guide(s) prior to the wedding day. These materials are designed to maximize quality and minimize common filming issues. Failure to follow these guides may impact the final result and does not qualify for refund or re-edit.
- PixelPerfect Wedding shall not be held liable for delays or failure to perform due to causes beyond our reasonable control, including but not limited to natural disasters, government restrictions, labor disputes, internet outages, or illness.
- Third-Party Footage Responsibility - Clients are solely responsible for ensuring any footage submitted (including guest footage) does not violate third-party copyrights, privacy rights, or venue restrictions. PixelPerfect assumes no liability for legal claims arising from unauthorized footage submissions.
- Data Security - While we take reasonable precautions to protect submitted footage and final deliverables, PixelPerfect Wedding is not liable for footage loss due to corrupted files, upload errors, third-party platform failures, or expired cloud links. Clients are responsible for downloading and backing up all deliverables upon receipt.
- Dispute Resolution - Any disputes or claims arising under these Terms shall be resolved through binding arbitration in the state of Rhode Island, in accordance with the rules of the American Arbitration Association. Both parties waive the right to a jury trial or class action lawsuit.
